Item Receipt
Item Receipt is the process of recording the arrival of inventory items at your warehouse or other locations. This crucial step ensures that your inventory records are accurate and up-to-date.
Overview
- Item Receipt is done by creating an Item Receipt record.
- Item Receipts can be created independently or linked to a Purchase Order.
- Partial receiving is supported for items on a Purchase Order.
- Landed costs can be included to calculate the true cost of inventory items. (Not yet implemented)
Creating an Item Receipt
To create a new Item Receipt:

Navigate to Purchasing > Item Receipt in the main menu.

Click on Add New on the top right.

Fill out the Item Receipt form with the following information:
- Date: The date of receiving
- Purchase Order: Link to an existing PO (optional)
- Vendor: Select the supplier
- Receipt Number: Automatically generated or manually entered
- Warehouse: Location where items are being received

For each item being received:
- Select the Item
- Enter the Quantity
- Set the UOM (Unit of Measure). This will be auto-populated based on the transaction history.
- Specify the Unit Price. This will be auto-populated based on the transaction history.
- Add any Description or Vendor Part Number if needed

Track items with lot numbers:
- For lot-tracked items, enter the Lot Number and Expiry Date

Add any additional notes or comments

Click Save to create the Item Receipt
Partial Receiving
When receiving only some items from a Purchase Order:
- Create an Item Receipt for the received items only.
- Racko will automatically update the "received" quantity on the linked Purchase Order.
- The Purchase Order will remain open until all items are received or it's manually closed.
Generating Bills from Item Receipts
Racko can automatically create corresponding transactions in your integrated accounting software. To connect to an accounting system, see Accounting Integrations.
Best Practices
- Always verify the received quantities against the packing slip and Purchase Order.
- Process Item Receipts as soon as goods are physically received to maintain accurate inventory levels.
- Use the "Internal Notes" field to document any discrepancies or issues with the received items.
- Regularly review and reconcile Item Receipts with vendor invoices.
