Lot Tracking
Lot tracking in Racko is a powerful feature used to manage and monitor batches or groups of specific items. This feature is essential for businesses that need to track manufacturing batches, expiration dates, or maintain quality control across groups of items.
Overview
- Lot tracking allows you to assign a unique identifier (lot number) to a batch of items.
- Lots can be tracked across different locations and throughout various stages of your inventory process.
- The Lots list provides detailed information about each lot, including quantity in stock, available quantity, expiration date, and recall status.
Enabling Lot Tracking
To enable lot tracking for an item:
- Go to Item > Item.
- Edit the desired item or create a new one.
- Enable the "Track lot numbers" option.
- Save the changes.
Important: When converting an existing item to lot-tracked, you must first zero out its quantity and value using an adjustment transaction. Note the total value for later reloading.
Using Lot-Tracked Items in Transactions
When using lot-tracked items in transactions:
- Receiving Items: Assign a lot number when adding items to inventory via item receipts or as outputs of builds/processes.
- Shipping Items: Select the specific lot number from the dropdown when shipping or using items in other transactions.
Adding Lot Numbers and Quantities
You can add lot numbers and quantities in several ways:
- Manually enter or scan lot numbers during item receipt.
- Use system-generated lot numbers by checking the "Auto lot numbers" box in transactions.
- For adjustments of new lots, first create the lot in the Lots list, then use it in the adjustment transaction.
Managing Lots Across Locations
- Lot quantities can be spread across multiple locations.
- Use the Lot Stock Status report to view lot quantities across all locations.
- When transferring lot-tracked items between locations, specify the lot numbers involved.
Adjusting Lot-Tracked Items
To adjust quantities of lot-tracked items:
- Go to Item > Adjustment.
- Create a new adjustment.
- Select the lot-tracked item and specify the lot number.
- Enter the quantity adjustment.
Viewing Lot History
To view the history of a specific lot:
- Go to Item > Lot.
- Click on the lot number to view its history.
Best Practices
- Consistently use lot tracking for items that require batch control or have expiration dates.
- Regularly review lot expiration dates and quantities to manage inventory effectively.
- Use lot numbers in quality control processes to quickly identify and isolate problematic batches.
- Train staff on the importance of accurately recording lot numbers in all relevant transactions.
